POSITION SUMMARY

Reporting directly to the President, the Executive Assistant provides high-level administrative support to the PARIC executive team.  The role requires independent project management, handling diverse activities, and maintaining confidentiality.

KEY AREAS OF RESPONSIBILITY

  • Support the President and executive team by managing their calendars, ensuring appointments are scheduled effectively, and resolving scheduling conflicts.
  • Handle expense report preparation and submission, ensuring accuracy and compliance with company policies.
  • Draft, edit, and format correspondence, emails, and other documents on behalf of the executives.
  • Arrange complex and detailed travel plans, including flight bookings, accommodations, transportation, and itinerary coordination.
  • Compile necessary documents and materials for meetings, presentations, and conferences.
  • Employ AIA software to manage and maintain contract documentation.
  • Keep the executive team apprised of upcoming commitments, deadlines, and responsibilities, ensuring timely follow-up and preparation.
  • Act as a point of contact for internal and external stakeholders, demonstrating professionalism and effective communication.
  • Undertake various special projects assigned by the President or executive team members, ensuring successful execution within designated timelines.
  • Schedule company meetings, socials and events, handling all logistical arrangements, purchasing and communications.
  • Facilitate requests for charitable donations, liaising with relevant parties to ensure contributions are made in alignment with the company’s philanthropic goals.
  • Provide support to employees during challenging times, such as illnesses or personal difficulties, by arranging necessary assistance or gifts.
  • Maintain the office workstation plan and assignments, ensuring that office spaces are efficiently utilized.
  • Liaison between PARIC and the Landlord/building manager as well as coordinating with cleaning companies.
  • Source and order all necessary office supplies.
  • Additional duties as assigned by the President or Executive team

THE IDEAL CANDIDATE WILL HAVE

  • Strong work tenure and experience supporting C-level Executives.
  • Technical competence with Microsoft Office Suite (Word, Excel, Outlook and PowerPoint) and various other hardware/software platforms such as iPhone, iPad, Microsoft Surface, social media – Twitter, LinkedIn, etc.
  • Bachelor’s degree strongly preferred, but not required.

POSITION TYPE/EXPECTED HOURS OF WORK

This is a full-time position. Days and hours of work are typically Monday through Friday. Onsite at our Westport office 4 days a week and able to work from home 1 day a week.
