Position Description

Summary/Objective

The Executive Assistant provides high-level administrative support to company executives by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.

Education, Skills, and Experience

  • Minimum of 3-5 years of combined experience as an executive assistant or similar role(s).

  • Technical competence with Microsoft Office Suite (Word, Excel, Outlook and PowerPoint) and various other hardware/software platforms such as iPhone, iPad, Microsoft Surface, social media – Twitter, LinkedIn, etc.

Preferred Education

  • Bachelor’s degree strongly preferred, but not required.

Duties/Tasks

  • Prepare/compose correspondence

  • Screen and route calls/voicemail

  • Handle travel reservations upon request

  • Maintain calendars and multiple contact lists

  • Schedule and coordinate meetings

  • Reconcile monthly statements

  • Facilitate requests for charitable donations

  • Coordinate and process various administrative items

  • Assist in coordination, planning and execution of special events

  • Maintain Paric Master Events Calendar

  • Manage various social media platforms

  • Serve as Notary Public

  • Special projects as assigned

Work Environment 

This job operates in a professional office environment. This role routinely uses standard office equipment.

Position Type/Expected Hours of Work

This is a full-time, salaried, exempt position. Days and hours of work are typically Monday through Friday, 8:00 a.m. to 5:00 p.m., although hours may vary from time to time in order to support specific needs.
