Position Description:
The Accounting Assistant supports the organization’s financial operations through accurate recordkeeping, process administration, and compliance-related activities. This role is responsible for maintaining the general ledger, administering the expense reporting process, and coordinating business license renewals. The ideal candidate is detail‑oriented, organized, and committed to maintaining high standards of accuracy and timeliness.
Responsibilities
Expense Reporting Administration
- Oversee the employee expense reporting workflow, ensuring compliance with company policies.
- Review submitted expenses for accuracy, proper coding, and required documentation.
- Communicate promptly with employees regarding corrections or missing information.
- Process and post approved expense reports to the general ledger.
AR/AP Administration
- Process Cash Receipts daily
- Assist in the Accounts Payable processing
- Communicate cross departmentally to resolve issues
Business License Administration
- Track renewal dates and requirements for all company business licenses.
- Prepare and submit applications, renewals, and payments on time.
- Maintain organized records of licenses, certificates, and related communications.
Additional Duties
- Support internal and external audit procedures by gathering documentation.
- Maintain organized digital filing systems for financial documents.
- Participate in process improvement initiatives to enhance efficiency and accuracy.
- Assist with Sales and Use tax filings
- Additional Duties as assigned
Qualifications
- Associate degree in Accounting, Finance, or related field preferred; relevant experience may be considered.
- 1–3 years of accounting or finance experience, ideally with exposure to general ledger and compliance tasks.
- Familiarity with accounting software (e.g., QuickBooks, NetSuite, Microsoft Dynamics) and strong Excel skills.
- Strong attention to detail, organizational skills, and problem solving abilities.
- Ability to manage multiple deadlines in a fast-paced environment.
